How it works
A workflow starts with a trigger: a new conversation, a form submission, a schedule, an incoming webhook. It then runs a series of steps defined in advance: call an AI model to summarise or classify, branch on a condition, call an API, send an email, update a record, wait, loop over a list.
Classic automation tools could only follow fixed rules on structured data. Adding AI steps lets a workflow handle unstructured input — read a free-text request and decide which branch it belongs to, extract an order number from an email, write a personalised message.
Workflows vs agents
Anthropic's guide “Building effective agents” distinguishes workflows, where language models and tools are orchestrated through predefined code paths, from agents, where the model decides its own steps. Workflows are predictable, easier to test and cheaper; agents are flexible but harder to control.
The two combine well. An AI agent handles the open-ended conversation with the customer and, when a known process is needed — register a return, qualify a lead, notify a team — it calls a workflow as a tool, which runs the same way every time.
Examples in support and e-commerce
Tag every conversation that mentions a delivery problem and alert the logistics team. When a visitor fills in a quote form, enrich the lead, add it to the CRM and send a summary to sales. Every morning, collect yesterday's unanswered questions and email them to the content owner. When a handoff is requested, post it to the team's Slack channel.
Good candidates are processes that happen often, follow the same steps and today require someone to copy information from one tool to another.
